AI agents that keep working after you close the laptop — and what that changes for smaller companies
A new generation of AI agents can handle scheduled work in the background, without anyone sitting at the screen. We look at what that means in practice for internal company processes.
Until recently, an AI assistant needed an open window and someone holding the task on their screen. Newer tools change that model — an agent can be scheduled for a specific time or a recurring rhythm and then run the task in the background, even with the laptop closed and no one watching. The user gets the result — a finished draft, an email concept, a summary — only when they need it.
It sounds like a small technical detail. But it has a practical effect on the kind of work you can hand to AI at all.
Why it matters more than it seems
As long as an AI assistant needs active attention — open a window, type a task, wait for a response — it stays useful mainly for tasks a person would have done themselves anyway. A scheduled agent running in the background is a different category: it can take on work that otherwise would not get done at all, because there is no time for it in day-to-day operations.
A typical example: the regular Monday prep of materials before a meeting. Overnight, the agent goes through emails, notes from the past week, and relevant news, assembles an overview, and drafts a follow-up email — but does not send it. In the morning a finished document is waiting, not a blank page.
Where the boundary is
Scheduled background work still follows the same rule we recommend for our own deployments: the agent prepares a draft, a person approves it before anything leaves the company or before something changes in a system with real impact. The only difference is when the preparation happens — no longer at the moment someone is sitting over it, but in advance, at a time when nothing would be happening anyway.
What it means for smaller companies
A smaller company does not have the capacity for someone to sit at an AI assistant and manually feed it every sub-task. The shift toward scheduled, background-running agents is therefore more interesting for smaller teams than for large corporations with a dedicated AI department — the difference between "a person did it by hand" and "an agent did it overnight" is felt more sharply on a small team's capacity.
Typical candidates for a first deployment: regular reports from multiple sources, preparing materials before a recurring meeting, monitoring changes in data or systems, and drafting responses to recurring types of enquiries.
How we approach it
We set up internal AI assistants for clients on exactly this principle — the agent does the preparatory work on its own and in the background, but decisions with real impact, whether sending an email out or changing a system, remain for a person to approve. The question worth asking is not "do we want an AI assistant," but which recurring preparation is taking up time today that the company could have back.
